# Reports and what each one answers

> The nine reports in Deep Analytics, what question each answers, and which to open first.

**Deep Analytics** in the sidebar. Every report takes a period — presets from one day to a
year.

| Report | The question it answers |
| --------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------ |
| **Revenue per Stage** | Where is the money sitting in the funnel? Lead count and pipeline value per stage. |
| **Assigned Users & Revenue** | Who is carrying what? Leads assigned, pipeline and won value, and conversion rate per person. |
| **Messages Report** | How much are we handling? Volume over time, inbound vs outbound, and human replies vs AI auto-replies. |
| **[Agent KPIs](/help/analytics/agent-kpis)** | How is each sales agent performing? Response times, contacts, conversions, satisfaction. |
| **Agent Activity** | When was each agent actually available? Ready periods plus real login and logout times. |
| **[Ready Time & Working Patterns](/help/analytics/ready-time)** | Day by day, hours Ready and how that compares to the expected shift. |
| **Ready-time grading** | Configuration: whether Ready time is graded against a shift, and the time zone shifts are read in. |
| **Sales Cycle Length** | How long does a deal take from first contact to closed-won, and where does it slow down? |
| **Response Time Heatmap** | When do customers wait? By hour of day and day of week. |

## Where to start

**If you are worried about response times** — open the Response Time Heatmap before Agent
KPIs. An average hides the thing that actually matters: a 40-minute average is usually a
fine team with a coverage hole at a specific hour, not a slow team. The heatmap shows the
hole; KPIs alone will not.

**If deals feel stuck** — Sales Cycle Length, then Revenue per Stage. The first tells you
it is slow, the second tells you where.

**If you are planning headcount** — Ready Time against Agent Activity. Scheduled versus
actual is the gap worth staffing to.

## Prerequisites for accurate numbers

<AccordionGroup>
  <Accordion title="Mark your win and lost stages">
    Conversion rate, won value and sales-cycle length all depend on stages being flagged as
    won or lost. Without that they report zero. See
    [Leads and pipeline](/help/crm/leads-pipeline).
  </Accordion>

  <Accordion title="Set up shifts">
    Ready Time compares against an expected shift. With no shift there is nothing to compare
    against. See [Shifts](/help/routing/shifts-and-rotas).
  </Accordion>

  <Accordion title="Have agents set their presence">
    Agent Activity and Ready Time are built from presence. An agent who never goes Ready
    shows as absent even if they answered all day. See
    [Presence](/help/routing/presence-ready-busy-off).
  </Accordion>

## Access

Analytics is permission-gated, and the per-agent KPI detail view is admin-only. If a report
is missing for you, that is roles rather than a bug — see
[Roles and permissions](/help/team/roles-and-permissions).
